In an innovaphone PBX a lot of voice prompts and messages are used. Most of them are delivered within the application (voicemail or xml), but for individual prompts it is necessary record messages. Examples are Waiting Queue announcements or the Boolean voice prompts. Customer sometimes like record them using the phone and handle so the voice messaging by themselves. The problem is that the required number of prompt depends on the individual customer setup. Also the meaning of a prompt may be different from one customer to another. With this single free xml your customer can record them all, whatever is your setup it will be possible handle all with just one single tool. And in each language, so localization included. Mission impossible? No, quite simple, here is how.

Problem Details

Imagine that a customer want record (and modify) a message witch is played if the company is closed and a special different message during special periods (like holydays). On top he wants record the welcome message for the Waiting Queue. Remember that this is just one of many possible wishes of customer. Of cause all that is not a setup problem if you are skilled with the setup of an innovaphone PBX, but how doing the recording? The setup of a innovaphone PBX can be done in many modes, and each setup is different. You could install different XML’s and customize them each time. Complicated, and what if tomorrow the customer wants one single feature more? Another xml?

More Information

The trick is … that also the main-menu of this tool can/must be recorded (from yourself or the customer), and so you tell the “meaning” directly to the customer. But let’s start from the beginning. The beginning is for technical people explain what this tool does.

So this tool records files named and called “track”. Each track has a number. To record a track you call the xml, enter the track number and confirm with “#”, then you will hear a “beep” and now your message will be recorded. You can stop recording pressing any key. If you press first “*” and then the track number you will hear the track (playback).

Example: if you dial “1#” you will record a file named “Track1.g711a”, if you dial “1234#” you will record a file named “Track1234.g711a”, if you dial “*1#” you will hear the file “Track1.g711a” etc.

Track 8765 (yes, like the default pin-code in the Voice-Mail) has a particular meaning, it is the main menu, and will be played if present. So if you call the xml you will always hear first the welcome message (“innovaphone universal recording tool”) and then your recorded main-menu is played.

If you call the first time the xml you will hear just the welcome message (because no “main-menu” is recorded). A possible main-menu for the example described first could be:

“Press 1 to record the main welcome announcement, press 2 to record the message for out of office callers, press 3 to record special announcements”

Another special Track is Track 9999. This track is played after Track 8756, the idea behind: in this track you can record general help issues. Those helps generally will not change, even if the main menu changes. You record them one time (in theory you can copy this file then in your next setup).

An example for the help menu is: “Confirm your selection with hash, after a beep your message will be recorded, you can stop recording with any key. To play the recorded messages press first star followed by the message number”.

Of course the different object in the PBX must point on those files (so in the example the Waiting queue text will point to the file “…/Tack1.g711a”.

Obviously it depends just on you what you indicate the customer in the main manu. If for example you do not mention that Track 8765 is the main menu he hardly will modify it. Or if there are other tracks that for your convenience should be modified just from you, do not tell the track number to the customer (and use a longer one of course).

Installation

Create a directory on your Compact flash and copy all the files in it.

Create a VM Object in the PBX and indicate the path to the xml file.

Configuration

Call the xml and record your main menu (Track8765), then record the help menu (Track9999). Ready, the rest should do the customer. Please not that you can start recording immediately even during the announcement (you have not to wait the end of the menu). The xml has a timeout of 100 seconds, so that is even the longest possible length of a record.

Known Problems

All announcements are recorded with the G711a Codec.
