Summary

The user type executive is used for executive/secretary functions. The phone of the executive is registered to this user. Two groups can be configured for this user: Secretary Primary and Secretary Secondary. The Secretary Primary group defines the secretaries which are assigned to this executive. The Secretary Secondary group defines the secretaries which may act in place of the secretaries which are assigned to the executive.

A third group may be configured, which defines all users which can call the executive directly, without the secretaries getting the call as well.

All calls to the executive are sent to the secretary groups. If there are users in the primary group, the call is sent to primary, if not to users in the secondary group.

All calls to the secretary groups are sent as diverted calls, with the executive as diverting user.

Any call to the executive (if the flag call executive is enabled), as long as the call was sent to a secretary as well is also signalled as diverted call. This way the ringing of the executive phone can be configured to ring differently if the call rings at a secretary or not.

Basic Functionality

Function ToDo
Add a user executive Add a new user. Select type executive. Fill in name, nickname, number and pbx. The drop-down lists for the secretary groups are empty.
Register a phone to this object. Check if calls to/from this phone are possible. Calls to the executive are sent as normal (not diverted) calls.
  Add groups to the user with the name primary, secondary and direct-call. Mark these groups as active.
  Open the executive user again. Now the drop-down lists for groups are not empty. Select for primary secretaries the group primary …
Add users for the secretaries Add two standard users primary-secretary, secondary-secretary (no need to assign a number). Add group primary to primary-secretary, secondary to secondary-secretary. Configure passwords.
Register a phone to primary-secretary (additionally you would use a function key (Join group) on the phone of the secretary to join or un-join to the primary group).
Call executive with a primary secretary Call executive. Only the secretary phone rings. The calls are sent as diverted calls, so the secretary sees that the call was originally for the executive.
Register a phone to secondary secretary. Call executive. Still primary-secretary is called.
Call executive with secondary secretary Un-join the users from the primary group. Call executive. The call is sent to the secondary as diverted call.
Executive calls secretary From the executive phone call the number of executive. The call is sent to primary-secretary (or secondary-secretary) as non-diverted call.
Direct-call Add group direct-call to a phone, do not mark it as active (in typical installations all the secretaries are member of this group). Call the executive from this phone. The call is sent as non-diverted call to the executive, no secretary phone rings.
Without any Primary and Secondary phone in the groups: Only Executive Phone rings, it’s a non-diverted call.
Call executive (with the call executive flag enabled) with primary or secretary Call executive. The call is sent to executive and secondary as diverted call.
Executive reject call Call executive (with the call executive flag enabled). Executive rejects call by pressing disconnect. Secretary phones keep on ringing.

Call-Diversions at Executive

The executive may divert his calls using CFU, CFB or CFNR

  • A CFU diverts the calls unconditional. No secretary phone is called
  • A CFNR diverts the call to executive if neither the secretary or the executive answers the call. After the diversion is executed, the secretary phone continues to ring
  • A CFB is only executed when both executive and secretary are busy.

If only executive or secretary are busy, the diversion is not executed
If both executive and all secretaries are busy, the diversion is executed, depending on the "busy on... calls" setting at the executive and secretary object.
CFNR Configure a CFNR at the executive phone
Call executive. If the call is not answered the diversion is executed.
If the call is answered by the executive or the secretary, the diversion is not executed.

Diversions at Secretary

The call to the secretary may be diverted using CFU or CFNR (CFB is not working)

CFNR Configure a CFNR at primary-secretary
Call executive. If the call is not answered the diversion is executed. The executive phone keeps on ringing.
If the call is answered by the executive or the secretary, the diversion is not executed.


Call Completion

If the executive is called and a call completion is registered, the call-back is initiated when the executive becomes available. (This is a known problem. It should depend on the secretary state.)
